Job Summary
Manage employee timecards in Swept, prepare payroll reports, and handle recruiting logistics. Maintain field schedules, route call-outs, and process supply requests from vendors. Enter vendor bills in QuickBooks Online, update product lists, and track payment status. Own the content calendar by planning social posts 30 days ahead, managing accounts, and engaging with community prospects. Handle inbound calls, distribute internal communications, and administer software licenses. Use AI tools for drafting and research. Work independently remotely to support HR, operations, finance, and marketing functions.
Required Qualifications
- 3+ years in an operations, administrative, or business support role
- Hands-on experience managing timecards and schedules for a distributed or field-based workforce
- Accounts payable experience — bill entry, payment tracking, and sorting out vendor discrepancies
- A track record of working independently and remotely, without daily supervision
- Clear written communication, and comfort documenting processes
- Strong attention to detail
Desired Qualifications
- Experience in commercial janitorial, facilities, or another field-services business
- Prior use of Swept, QuickBooks Online, or HubSpot
- Social media content creation and community management experience
- Comfort using AI tools such as Claude for drafting, research, and administrative work
