Job Summary

Manage resident billing, accounts receivable, and collection activities while overseeing accounts payable, concierge team oversight, and daily business office operations. Communicate with guests, residents, and families regarding account balances, payment expectations, and insurance responsibilities, handling sensitive financial conversations with professionalism and follow-through. Process daily bank deposits, census reporting, and ancillary charge reconciliations, and support Medicaid and Medicare processes including documentation and caseworker communication. Supervise the concierge team, assist with admission paperwork, and maintain administrative tracking, calendars, and emergency call-tree updates. Partner with community leadership to ensure accurate billing, timely financial follow-up, and organized business office processes in a fast-paced senior care environment.

Required Qualifications

  • High school diploma or equivalent
  • At least one year of administrative or business office experience
  • Must be able to speak, read, and write English
  • Must be able to independently lift up to 35 pounds
  • Must be able to perform repetitive sitting, bending, standing, walking, and movement as needed
  • Must be able to work in a fast-paced environment with strong attention to detail
  • Must be able to utilize technology, office systems, and business resources efficiently and effectively
  • Must be able to maintain confidentiality and appropriately handle sensitive financial, resident, and team-member information

Desired Qualifications

  • Post-high school clerical training, business coursework, or a degree with a business emphasis
  • Experience in a business office, billing, accounts receivable, accounts payable, administrative operations, or a similar role
  • Experience with Medicare and Medicaid processes
  • Senior living, skilled nursing, post-acute care, healthcare, or long-term care experience
  • Comfort discussing account balances, financial responsibilities, and payment expectations with residents, families, and responsible parties
  • Strong attention to detail with billing, documentation, deposits, reconciliation, deadlines, and follow-up
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong organizational skills and the ability to monitor open items through completion
  • A self-directed work style with strong accountability, urgency, and follow-through
  • Confidence supervising and scheduling a customer-facing team
  • Excellent customer-service skills with compassion, patience, and professionalism
  • Ability to communicate clearly, directly, and respectfully with residents, families, leaders, vendors, and team members
  • A positive, solution-focused approach with the ability to remain professional under pressure
  • Strong computer skills, including Microsoft Office and the ability to learn new business office systems
