Job Summary
Manage incoming telephone and email inquiries regarding security holder questions, technology access, and online document execution. Serve as the primary point of contact for clients and legal counsel to research issues, review executed agreements, and coordinate wire payment instructions. Support the initiation of payments to shareholders, process quarterly interest releases, and maintain accurate documentation within internal systems. Act as a solicitation liaison to update records and create status reports while ensuring compliance with transaction requirements. Maintain high accuracy in a fast-paced environment by handling confidential financial and legal information and adhering to established productivity standards.
Required Qualifications
- Bachelor's degree in a related field from an accredited four-year college or university
- Minimum of two (2) years of experience in escrow services, paying agent services, financial operations, banking, trust services, or related fields
- Familiarity with escrow agreements and transaction-related documentation
- Ability to communicate effectively through telephone, video conferencing, email, and other electronic communication methods
- Ability to use a computer, keyboard, and other standard office equipment for extended periods
- Specific vision abilities including close vision, distance vision, color vision, depth perception, and the ability to adjust focus
- Ability to review detailed financial and legal documents while maintaining accuracy and attention to detail
- Ability to work in a fast-paced environment with competing priorities and strict deadlines
- Must be able to lift and carry office materials weighing up to 25 pounds
Desired Qualifications
- Working knowledge of legal documentation, corporate entities, and ownership structures
- Experience reviewing escrow agreements and providing feedback or support to attorneys and legal counsel
- Intermediate proficiency in Microsoft Office applications, including Excel, Word, and Outlook
- Experience gathering, analyzing, and interpreting data from multiple sources
- Demonstrated understanding of financial markets, financial transactions, and industry trends
- Strong written and verbal communication skills with the ability to interact effectively with internal stakeholders, clients, attorneys, and security holders
- Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously
- Strong analytical, critical thinking, and problem-solving abilities
- Exceptional attention to detail and ability to perform accurately in a highly regulated and time-sensitive environment
- Ability to work independently while collaborating effectively with cross-functional teams
- Demonstrated commitment to delivering outstanding customer service and maintaining professional client relationships
- Ability to adapt to changing business priorities and support multiple operational functions as needed
