Job Summary
Take ownership of bookings after the initial sales stage by confirming artist availability, preparing invoices and contracts, and coordinating consultations. Maintain accurate records across active bookings, client workflows, and appointment calendars using Google Workspace, Squarespace, and Todoist. Resolve scheduling conflicts, track deposits, and ensure all booking details align with company SOPs while supporting the transition to simplified administrative systems. Manage communication between clients and the team of approximately 14–16 hair and makeup artists to ensure smooth service delivery.
Required Qualifications
- Proven background in administrative coordination, scheduling, customer service, or booking management
- Exceptional verbal and written English skills
- Capability to communicate confidently with US-based clients
- Ability to maintain discretion with sensitive information
- Ability to contribute effectively in virtual team meetings
- Highly organized
