Body Shop Admin Assistant

Job Summary
Answer phones, manage calendars for the Service Operations Director and Body Shop Director, and prepare accurate repair orders, invoices, and customer files. Coordinate appointments to ensure seamless communication between customers, service advisors, technicians, and insurance companies while handling inquiries and complaints in English and Spanish. Maintain inventory records, collaborate with the Parts Department for supply ordering, and work with adjusters to facilitate claims processing. Adapt to additional tasks assigned by leadership, stay updated on industry standards, and contribute to process improvements to enhance efficiency and customer satisfaction.
Required Qualifications
- High school diploma or equivalent
- Strong administrative and organizational skills with attention to detail
- Excellent verbal and written communication skills
- Customer-oriented mindset with exceptional interpersonal skills
- Ability to prioritize and handle multiple tasks in a fast-paced environment
- Basic computer skills, including proficiency in MS Office applications
- Candidate must be willing to complete a pre-employment testing, such as the Criteria Basic Skills Test (CBST)
- Ability to stand, walk, and bend for extended periods
- Lift and carry objects as necessary
- Comfortable working in a body shop environment, which may include exposure to dust, fumes, and moderate noise levels
- Ability to adapt and handle additional tasks and responsibilities as assigned by the Service Operations Director and Body Shop Director
- Stay updated on industry standards, regulations, and best practices relevant to the body shop department
- Contribute to process improvements and suggest innovative ideas to enhance efficiency and customer satisfaction
- Participate in training programs and workshops to enhance skills and knowledge
- Comply with company policies, procedures, and safety guidelines
- Maintain confidentiality of sensitive information and adhere to data protection protocols
Desired Qualifications
- Additional education or certifications in automotive technology or administration
- Proficiency in both English and Spanish
- Previous experience in an automotive service or body shop environment
