Job Summary
Manage the Chief Philanthropy Officer's calendar, expense reporting, and fundraising documentation while serving as a principal contact for the Board of Directors regarding ticketing, parking, and event logistics. Plan and execute full Board meetings, retreats, and committee gatherings, ensuring consistent messaging and distributing minutes to maintain internal communication. Coordinate special requests, review donor information updates, and support annual gift solicitations and event sponsorships. Assist with Board/Donor Patron Tours, major fundraising events, and pre/post-concert activities. Work independently to identify challenges and opportunities for greater support and service.
Required Qualifications
- A minimum of 3 years of administrative support experience, ideally with a Board of Directors or active volunteer group
- Prior, demonstrable experience providing high level patron stewardship for a non-profit organization or a for-profit customer-oriented business
- Ability to work independently and as a member of a team, while being responsive, respectful and collaborative
- Ability to be flexible to multiple priorities in a fast-paced and demanding environment
- Superior business professional communication and organizational skills
- Excellent business professional writing, communications and organizational skills
- Strong business professional desktop computing skills
- Experience planning and supporting special events, including vendor interactions
- Technical proficiency with Microsoft programs and Customer Relationship Management (CRM) programs such as Tessitura, Raiser Edge, or Salesforce
- Ability and willingness to work occasional nights and weekends throughout the year
- Dedication and commitment to engage in and promote diversity, equity, and inclusion within the staff, vendors, and within interactions with the surrounding community
