Job Summary
Oversee the daily organization and readiness of the Orlando office by opening the facility, maintaining a client-ready reception area, and coordinating with vendors for supplies and maintenance. Serve as the primary in-person point of contact by greeting clients, answering calls, and assisting with scheduling and administrative questions. Conduct new client intakes by gathering preliminary information, performing prescreening, entering data into the firm's system, and routing legal inquiries to attorneys. Provide general administrative support to attorneys and paralegals by handling scanning, copying, printing, document organization, and coordinating signatures and notarizations. Maintain office files, records, and administrative systems while ensuring proper routing of correspondence. This hands-on role supports a growing Florida law firm focused on probate, estate planning, and litigation matters.
Required Qualifications
- Strong written and verbal communication skills
- Strong computer and organizational skills
- Employment eligibility verification
Desired Qualifications
- Prior administrative, receptionist, office coordinator, legal assistant, or customer-service experience
- Law firm or professional-services experience
- Experience with Microsoft Office and cloud-based business systems
- Bilingual English/Spanish
- Notary Public certification or willingness to become a notary
