Job Summary

Greet clients and visitors with warmth and professionalism while answering incoming phone calls and voicemails. Complete intake processes for new referrals, schedule and confirm client appointments, and provide insurance verification. Process drug screens, manage medication refills, and handle incoming and outgoing documentation. Verify insurance benefits, manage pre-authorizations, and offer administrative support to clinical staff. Collaborate with the team to ensure smooth daily operations, identify challenges, and implement solutions. Perform additional duties as needed to support the practice. Work Monday through Friday, 9 AM to 8:30 PM, with weekend on-call coverage every 4–6 weeks.

Required Qualifications

  • High School Diploma
  • Previous administrative experience preferred
  • Strong organizational and time-management skills
  • Ability to multitask and prioritize effectively
  • Professional, clear verbal and written communication skills
  • Strong attention to detail
  • Comfort with technology, including EMR systems and Microsoft Office
  • Excellent customer service mindset
  • Ability to work independently and as part of a team
  • Organized and dependable
  • Proactive and able to take initiative
  • Calm under pressure and adaptable
