Job Summary

Greet and assist patients and family members at the designated facility, serving as the first line of contact for all telephone calls and patients presenting in crisis. Collect, verify, and enter demographic, financial, and insurance information into the electronic health record to ensure accurate billing. Schedule appointments for intakes, facilitate telehealth connections, and follow up on no-show or cancelled appointments. Screen patients for priority risks, complete Mental Health Initial Contact forms, and submit Release of Information documents to Health Information Management. Maintain clinic operations by managing opening and closing duties, checking printers and fax machines, securing confidential materials, and ensuring common areas remain tidy. Complete required training on HIPAA compliance, crisis management, and behavioral health documentation systems.

Required Qualifications

  • High school diploma or equivalent
  • Must currently hold or be actively pursuing certification as a Behavioral Health Aide or Chemical Dependency Counselor
  • Two years of office experience
  • medical office experience preferred
  • Knowledge of Office functions

  • Office machines and equipment
  • HIPAA privacy rules
  • Skills in Verbal and written communication
  • Problem solving
  • Time management, organization, and customer service
  • Data entry with a high degree of accuracy and detail orientation
  • Ability to Prioritize work and multi-task in a fast-paced office setting with many interruptions
  • Self-start and willingness to learn

  • Maintain professional composure during stressful times
  • Proficient in Microsoft Office Products including Word, Excel, and PowerPoint
  • Experience using Electronic Health Records is Required
  • Less than 10% travel expected
  • Must lift and/or move 25 lbs
  • Regularly required to talk or listen
  • Frequently required to stand, walk, sit, use hands to finger, handle or feel and reach with hands and arms
  • Occasionally required to climb or balance; stoop, kneel, crouch or crawl
  • Required to complete On-the-job training HIPAA Compliance and Patient Confidentiality
  • Required to complete On-the-job training Behavioral Health Documentation Systems
  • Required to complete On-the-job training Crisis Management and De-escalation Techniques
  • Required to complete On-the-job training Insurance Verification and Billing Processes
  • Required to complete On-the-job training Customer Service and Patient Communication Skills

  • Responsible for remaining calm and supporting clients when they appear upset or overwhelmed and must request a supervisor if a client becomes distressed

Desired Qualifications
