Job Summary

10-month Attendance Secretary to support the K-12 Attendance Officer. Responsibilities include maintaining and entering attendance records, communicating with students, staff, and parents, greeting visitors, handling inquiries via multi-line telephone, and preparing truancy/attendance-related letters and court-referred forms. Requires a high school diploma or equivalent, at least three years of word processing/data-entry experience with district attendance software, independent judgment, strict confidentiality, strong Microsoft Office and Google Workspace skills, and the ability to operate standard office equipment. Demonstrates effective oral and written communication, active listening, and the ability to work with diverse backgrounds; duties performed in a school-office environment with occasional lifting and exposure to health risks.

Required Qualifications

  • High school diploma or equivalent
  • A minimum of three years experience in word processing, entering data, and the ability to use and execute programs currently employed by the district's attendance system
  • Previous work experience in an environment where decisions had to be made without direct supervision, thus displaying independent judgment and discretion
  • Greet visitors, staff and students in a friendly and professional manner
  • Demonstrates an understanding of the necessity of confidentiality related to student and staff information or data existing within building files
  • Willingness to communicate and work with persons for diverse socio-economic, racial, or physically disabling backgrounds.
  • Demonstrate a willingness to participate in in-service programs designed to improve the efficiency of school operation.
  • Knowledge of and ability to effectively operate computer software programs including but not limited to the Microsoft Office Suite (Word, PowerPoint, Excel, etc.) and Google Workspace
  • Ability to create and maintain accurate and complete records and reports
  • Ability to maintain confidentiality
  • Oral and written skills to convey ideas, facts, and information effectively and accurately
  • Duties/Performance Responsibilities: Answer multi-line telephone, greeting callers in a friendly, courteous manner, taking accurate messages, and properly answering inquiries
  • Receives calls from probation officers, parents or guardians concerning students
  • Call parents of absent students to confirm reason for absence
  • Admits students who have been absent or arrive late to school; issues passes for students to leave early
  • Maintains attendance files of written excuses from parents, doctors, and other sources
  • Type various correspondences related to attendance issues including but not limited to truancy warning letters, medical status letters, and withdrawal letters
  • Type, as necessary, the required report forms for court referrals
  • Other duties as assigned by the K-12 Attendance Officer or their designee
  • Working Conditions: Office environment, experiences constant interruptions
  • Ability to lift 25 pounds individually, or 50 pounds with the assistance of another person
  • May be exposed to infectious diseases carried by students
