Job Summary
Coordinate day-to-day operations of the Athletic Department, managing athletic schedules, facility reservations, practice calendars, and transportation logistics for practices, competitions, and special events. Oversee equipment inventory, uniform distribution, purchasing, vendor coordination, and budget tracking in partnership with the Business Office. Serve as the primary contact for inquiries, managing the department inbox and communicating logistical details to students, families, coaches, and community members. Maintain accurate records for student-athlete attendance, eligibility, rosters, and participation while developing operational systems to improve efficiency. Assist in athletic registration processes and support game-day operations, including award ceremonies and event setup. Work collaboratively across departments to ensure the athletic program runs smoothly throughout the school year.
Required Qualifications
- Bachelor's degree or equivalent combination of education and relevant experience
- Minimum of three years of experience in athletic administration or school operations, preferably in an independent school or college setting
- Exceptional organizational and project management skills
- Experience developing systems and processes that improve organizational efficiency
- Strong written, verbal, and interpersonal communication skills
- Demonstrated ability to manage multiple priorities simultaneously
- High level of professionalism, discretion, and attention to detail
- Strong technology skills, including experience with spreadsheets, databases, scheduling systems, productivity software, and AI platforms
- Ability to work collaboratively across departments and constituencies
- Ability to move throughout campus and athletic facilities and to lift, carry, and move athletic equipment and supplies up to 25 pounds
- Ability to work both indoors and outdoors in varying weather conditions
- Ability to work occasional evenings and weekends in support of athletic events and programs
- Coach 1-2 seasons of Middle or Upper School athletics
