Job Summary
Associate Project Manager for Private Clients supports the Director of Private Clients in luxury private events and high-touch celebrations. Responsibilities include end-to-end event planning and execution, production timelines and run-of-show documents, vendor research and management (venues, rental providers, fabricators, subcontractors), staffing plans and crew scheduling, travel arrangements, on-site execution with calm leadership, and comprehensive documentation including memos, estimates, and expense reports. The role requires discretion, polish, responsiveness, and the ability to manage complex logistics for ultra-high-net-worth clients, ensuring meticulous planning and flawless execution. Strong communication, coordination across internal teams and vendors, and adherence to budgets are essential. The ideal candidate thrives in fast-paced, detail-intensive environments and is comfortable working evenings, weekends, and holidays, with the ability to travel domestically and internationally.
Required Qualifications
- A minimum of 5+ years of experience in luxury event production, hospitality operations, concierge services, or premium client experience environments
- Proficiency in Microsoft Office, including Excel, Word, and Outlook
- Excellent written and verbal communication skills; confident in managing vendor outreach and follow-up
- Proven ability to manage multiple projects and tasks simultaneously with precision
- Strong organizational skills and exceptional attention to detail, presentation, and guest experience
- Collaborative working style with the ability to work across departments and personalities
- Comfort working under tight timelines and in high-pressure live event environments
- High level of professionalism, discretion, and emotional intelligence when interacting with colleagues, clients, and principals
- Willingness to work evenings, weekends, and holidays as event schedules require
- Ability to travel domestically and internationally as needed
