Job Summary
Manage project plans, integrated timelines, and Gantt charts while driving activities across multiple program areas. Consolidate vendor schedules into internal work plans, monitor for risks, and synthesize data to support leadership decision-making. Design project trackers, prepare weekly status reports, and maintain version control for all documentation. Own communication across internal teams and vendors, schedule meetings, and escalate timeline concerns to leadership. Provide operational support during large-scale activations and Games-time execution. Requires 3+ years of project coordination experience and proficiency in Smartsheet, Asana, or similar tools.
Required Qualifications
- Bachelor's degree or equivalent relevant work experience
- Minimum 3+years relevant work experience in account management, project coordination, agency operations, or program management
- Experience using Microsoft Word, Outlook, Excel, Powerpoint and SharePoint
- Experience with Smartsheet or similar project management / tracking tools
- Previous experience building & tracking schedules, deliverables, deck building, and operational reporting
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to manage multiple tasks and priorities in a fast-changing environment
- Proven ability to maintain consistent reporting and documentation standards
- Strong written and verbal communication skills; ability to clearly convey status updates and recommendations and write decks
- Ability to read, interpret, and synthesize information from multiple sources
- Experience building and managing project schedules, workback plans, timelines/Gantt charts, and PPT decks
- Experience coordinating multiple stakeholders and tracking deliverables across complex projects
- Solid project coordination or project management experience
- Proactive problem-solver with ability to anticipate issues before they arise
- Positive, can-do attitude and a willingness to jump in where needed
- Proficiency in software such as Microsoft Office Suite, Slack, Smartsheet, Monday.com, Asana, Airtable, or other similar project management tools
- The position is located in Los Angeles with in-person attendance required
- Employees must be able to work efficiently in an open cubicle environment
- Hours of work may vary, including evenings, weekends, and holidays, especially during peak event periods
