Job Summary
Associate Billing Analyst will manage the full client billing lifecycle, including prebills/proformas, month-end processing, invoice preparation (attorney/client invoices for fixed fee, batch, retainer, contingency, etc.), and ensuring compliance with client guidelines. Responsibilities include time/expense transfers and edits, report generation, timeliness management, allocations of unapplied funds, write-offs, and handling inquiries from customers. The role requires that billing processes and alternate billing arrangements align with firm policies, and may involve special projects. The ideal candidate will have an associate-level degree (or higher) in Business/Accounting/Finance or equivalent experience, at least two years of billing experience in a law firm or professional setting, proficiency with DMS, strong Excel and Office skills, and familiarity with billing systems (Aderant/Elite 3E preferred). Strong attention to detail, organizational and time-management abilities, ability to multitask in a fast-paced environment, and effective communication with senior management and clients are essential.
Required Qualifications
- Associates Degree or advanced degree preferred with concentration in Business, Accounting, or Finance
- Minimum two years of billing experience in a law-firm or professional organization
- Experience working with client Document Management Systems (DMS)
- Ability to create spreadsheets, manipulate data and generate reports
- Detail oriented with excellent organizational and time-management skills
- Ability to multitask and meet stringent deadlines in a fast-paced environment
- Ability to work effectively in a team environment as well as taking ownership for individual assignments
- Excellent verbal and written communication skills with ability to effectively present results to senior management
- Ability to interface effectively and successfully with senior management, vendors, and client staff
- Ability to professionally handle matters of a sensitive nature with confidentiality
- Advanced knowledge of Microsoft Office
- Experience with Aderant or Elite/Elite 3E and/or business intelligence products strongly preferred
- 10-key calculator proficiency strongly preferred
