Assistant Field Office Manager

Job Summary

Manage the Elations program, Davis Bacon, PLA salary requirements, and CHIP while processing monthly subcontract billings and material invoices. Track drug testing and safety orientation paperwork, then develop and maintain files, forms, purchase orders, subcontract files, and meeting minutes. Lead site security and badging administrative processes, organize typing of daily diaries, and support hiring, weekly payroll, and union workforce termination. Handle copying, filing, and mailing of job site correspondence. Maintain office supplies and coordinate with the Field Office Manager, Project Superintendent, Project Manager, and subcontractors. Fully on-site location required.

Required Qualifications

  • High school diploma or GED
  • Minimum of one (1) year of accounting and office management experience in the construction, engineering, or architectural (or related) field
  • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint and Teams)
  • general understanding of working within a computer network
  • Must be an accurate and proficient typist (at least 45-wpm)
  • Ability to work well and maintain a cooperative attitude through high-pressure situations
  • Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress
  • Excellent written and oral communication skills with an ability to develop strong interpersonal relationships
  • Ability to work well in a large professional setting
  • Patience and professionalism
  • Must be a strong team player with the ability to collaborate with various personnel within and across departments and at all levels of leadership
  • Must possess strong organizational and computer use skills

  • Lift/Carry up to 40lb – Minimal
  • Standing/Walking/Sitting: Workday is combination of standing, walking and sitting
  • Must be located fully on site
