Job Summary
Strategically manage the Chief Accounting Officer's complex calendar across global time zones, acting as a critical gatekeeper to prioritize scheduling requests while protecting executive after-hours time. Coordinate cross-functional meetings, accounting-related logistics, and ad-hoc tasks with internal and external stakeholders. Serve as a strategic advisor to the CAO and Head of Tax, facilitating critical decision-making through high discretion and tact. Oversee department morale initiatives, including end-to-end planning for all-hands meetings, internal events, and executive offsites. Manage monthly expense reporting, reconciliation, and reimbursement for senior leadership while coordinating complex international and domestic travel arrangements. Prepare outcome-focused meeting agendas, distribute action items, and create high-quality presentation decks. Handle day-to-day in-office needs for the accounting leadership team, including catering logistics, room bookings, and AV troubleshooting. This hybrid role is based in the Los Angeles office.
Required Qualifications
- Four-year college degree
- A minimum of 8 to 10 years of experience supporting C-level
- Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, OneDrive), Concur, Workday, SAP, Docusign, Adobe Sign
- Highly systematic with a proven ability to manage competing priorities simultaneously
- Meticulous attention to detail and accuracy, with a proven track record of delivering flawless execution of executive support for CAO & senior leadership
- High level of professional sophistication and maturity required to interact directly and confidently with prominent internal and external stakeholders
- Proven experience providing comprehensive administrative and strategic support to multiple executives & senior leaders simultaneously within a fast paced corporate environment
- Possess a high degree of tact and discretion, seamlessly navigating the parallels between corporate and agency dynamics while handling sensitive organizational matters with absolute confidentiality
- Demonstrated ability to exercise exceptional judgment, critical thinking, and proactive problem solving under pressure
Desired Qualifications
- Prior experience in accounting and/or Entertainment supporting C-Suite executives is a plus
