Job Summary
Track international project schedules, milestones, and deliverables from concept to installation while serving as the central communication link between clients, fabricators, consultants, and global installation teams. Organize logistics including shipping documentation, freight forwarding, customs coordination, equipment rentals, and crew travel arrangements. Monitor supplier invoices, purchase orders, and project expenses alongside the finance team, and create SOPs for studio operations. Coordinate international travel and visa applications for leadership, manage priority lists, and prepare meeting agendas. Maintain organized digital files and support business development by tracking public art submission deadlines. This hybrid role requires flexibility for international travel and installations, with two days on-site and three days remote.
Required Qualifications
- Prior experience in project management, events, logistics, production, or a creative studio environment
- Proven organisational and proactive problem-solving abilities within complex, multi-stakeholder environments
- Excellent verbal and written English communication skills suitable for international client and vendor coordination
- Demonstrated capability in working independently, managing multiple priorities, and maintaining accuracy under pressure
- Strong working knowledge of Google Workspace (specifically Google Sheets and Google Docs)
- Proficiency with project management software platforms (such as Asana, Monday.com, or ClickUp)
- Cloud-based file management proficiency
- Familiarity with emerging AI tools (such as Gemini and ChatGPT)
- High flexibility
