Job Summary
Architectural Project Coordinator in the Greater Toronto Area, focusing on supporting the project management team through delivery and administration of projects. Responsibilities include scheduling and distributing meeting minutes, preparing and coordinating content for project plans and reports, organizing project documentation and deliverables, coordinating client and stakeholder communications, assisting with subconsultant agreements and client invoicing, leading proposal coordination in response to RFPs, preparing qualification materials and coordinating graphic/layout design for proposals, monitoring procurement websites for RFPs and opportunities, building relationships with sub-consultants and contractors as the primary point of contact for proposal deliverables, managing project data sheets and marketing materials, coordinating with the Communications Lead on local stories and social content, and coordinating trade shows/conferences including budgets and sponsorships. Qualifications emphasize a degree in marketing/communications-related fields or equivalent experience, strong written and verbal communication, coordination/administrative experience, writing and storytelling capabilities, familiarity with graphic design and Adobe Creative Suite, proficiency with Microsoft 365 and MS Project, and assets related to CAPM/PMP certification and experience in engineering/architectural/professional services environments. The role involves collaboration with internal teams and external stakeholders to produce timely, high-quality proposals, maintain project documentation, and support business development efforts through qualifications and marketing materials.
Required Qualifications
- Degree in marketing, communications, journalism, public relations, or equivalent experience
- Strong written and verbal communication skills, including editing and proofreading abilities
- Experience working in a coordination or administrative capacity as part of a project delivery team is considered an asset
- Experience in writing and storytelling
- Understanding of graphic design principles and use of Adobe Creative suite is preferred
- Proficient with Microsoft 365 and scheduling software (MS Project)
- Previous experience in engineering, architectural, or professional services firms is considered an asset
- Knowledge and experience with Microsoft project is considered an asset
- CAPM or PMP Certification is considered an asset
