AO/Program & Operations Associate, Family Engagement

Job Summary
Support recurring Family Engagement programs, including Leadership Accelerator and peer-to-peer initiatives, by coordinating pre- and post-session materials, distribution lists, and survey administration. Maintain team trackers, dashboards, and reporting tools to ensure accurate information for quarterly business reporting and internal updates. Prepare recurring reports on program activity, ROI metrics, and LAB engagement while assisting with content workflow, quote-check processes, and Seismic platform maintenance. Identify opportunities to improve team efficiency through workflow enhancements and approved AI tools to streamline administrative and research processes.
Required Qualifications
- 5+ years of experience in project coordination, program management, business operations, research support, marketing operations, client service support, or a related function
- Strong organizational and project management skills, with the ability to manage multiple workflows, deadlines, and stakeholders
- Excellent written communication skills, with the ability to draft clear, polished emails, summaries, and internal updates
- High proficiency with Microsoft Office, particularly PowerPoint, Excel and Outlook
- Intellectual curiosity and a proactive approach to problem solving
- Excellent attention to detail, particularly for advisor-facing, client-facing, or senior leader-facing materials
- Sound judgment, including knowing when to act independently and when to escalate
- Proactive problem-solving orientation, with an interest in improving repeatable processes and team workflows
- Adaptability and comfort working in a growing business where priorities may evolve over time
- Professionalism, discretion, and an appreciation for the needs of ultra-high-net-worth clients and the advisors who serve them
- Curiosity and willingness to learn new tools, including approved AI-enabled resources, to create efficiency and leverage for the team

- Experience supporting U.S.-based stakeholders, senior professionals, or global teams preferred
- Interest in wealth management, UHNW client engagement, family office, leadership development, research, or related areas preferred
- Experience with Salesforce, Seismic, SurveyMonkey, Power BI, or similar platforms preferred
