Job Summary

Greet clients upon arrival, check them in, and provide necessary forms or information about upcoming treatments. Answer phone calls, emails, and online inquiries to assist clients in booking appointments, handling rescheduling, or cancellations. Manage client intake forms, update databases, and maintain organized records of client information and appointment history. Process payments, handle cash transactions, and ensure accurate billing for services and products. Assist clients with retail product inquiries and promote special offers or packages. Ensure the front desk and waiting area are clean, tidy, and stocked with necessary supplies. Work closely with medical professionals to communicate treatment updates and client needs. This role requires flexibility to work Saturdays and must adhere to HIPAA regulations.

Required Qualifications

  • Previous experience in customer service or front desk operations, ideally in a medical or spa environment
  • Strong verbal and written communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional appearance and demeanor
  • Excellent attention to detail and organizational skills
  • Ability to maintain client confidentiality and adhere to HIPAA regulations
  • Flexibility to work Saturdays

Desired Qualifications

  • Familiarity with booking software and point-of-sale systems is a plus
  • Knowledge of beauty or wellness services is a plus
