Alcohol Inventory Coordinator

Job Summary
Manage all aspects of bar inventory, including liquor, beer, and cocktail ingredients, by preparing orders, tracking supplies, and ensuring bars remain fully stocked per client requests. Conduct weekly and month-end inventory checks for beer, wine, and liquor while maintaining accurate accounting records for all transactions. Review invoices, investigate discrepancies, and coordinate with vendors and staff to resolve variances and uphold liquor law and safety compliance. Prepare and update consumption sheets for events, submit final reports to Accounting, and distribute beverage menus to clients and staff. Work flexible evenings, weekends, and holidays as needed.
Required Qualifications
- Must hold a current Pennsylvania driver's license and be insurable by the Conservatory
- Must be RAMP certified by of the end of their 1st week of employment
- Must possess a valid driver's license and be at least 21 years of age
- Associate or bachelor's degree in business or relevant field preferred
- Previous experience in customer service or catering preferred
- Strong organizational and inventory management skills
- Demonstrate professionalism, sound judgment, and respectful communication in all interactions with clients, vendors, coworkers, and supervisors while representing Phipps at events
- In-depth knowledge of liquor control policies and bar operations
- Proficiency in maintaining accurate accounting records
- Strong computer skills
- Ability to manage multiple priorities and ensure timely delivery of services for events
- Self-motivated, disciplined, dependable, and able to work with limited supervision
- Ability to prioritize and work independently
- Physical mobility: sitting, standing, walking, lifting/carrying objects up to 50 pounds, manual dexterity to operate keyboard
- Mental effort: reading, writing, analyzing and visualizing
- Sensory requirement: ability to communicate and respond both in person and over the phone to the general public, staff and volunteers in a friendly and fair manner
- Strong work ethic in all areas of job performance
- Ability to work under deadlines and stress
- Ability to provide own transportation to perform principal responsibilities
- Ability to meet the physical demands of the position, including but not limited to: Working indoors and outdoors in all weather conditions
- Ability to meet the physical demands of the position, including but not limited to: Standing, walking, and moving for periods of exceeding 8 hours
- Ability to meet the physical demands of the position, including but not limited to: Lifting and carrying items weighing up to 50+ pounds
- Flexible availability, including evenings, weekends, and holidays as needed
