Job Summary
Advancement Coordinator provides administrative and project-management support to the SVP, Deputy Director for Advancement and the Advancement team. Responsibilities include handling day-to-day administrative activities for the Deputy Director, coordinating calendars and travel, drafting meeting agendas and minutes, organizing workflows and records, and providing research, writing, and editorial support for funding proposals and donor communications. The role requires strong writing and proofreading skills, proficiency with Outlook/Word/Excel/PowerPoint, ability to handle confidential information, and comfort working in a hybrid environment between the Barnes’ Philadelphia campus and remote work. The position emphasizes discretion, professionalism, and collaboration across trustees, VIP guests, and internal stakeholders, along with oversight of summer internships and engagement with volunteers and donors. The role entails a mix of administrative duties (50%) and advancement-related responsibilities (50%), with an emphasis on relationship management, fundraising support, and ensuring high-quality, timely deliverables across departments.
Required Qualifications
- 4-year Bachelor’s degree and at least three years administrative and/or fundraising experience supporting senior level management OR associate’s degree and at least five years administrative experience
- Superior computer skills, including Outlook, Word, Excel, and PowerPoint
- Excellent writing, spelling, and grammar skills
- Proficiency in proofreading and ability to edit documents
- Flexible, with strong organizational skills
- Sound judgment and ability to work independently to identify priorities, handle multiple issues simultaneously, and meet deadlines
- Professional and courteous demeanor and the ability to handle confidential information
