Admissions/Intake Manager

Job Summary
Respond promptly to inquiries from prospective clients, family members, and referral sources while explaining program offerings and intake requirements. Schedule assessments with clinical staff, coordinate logistics with admissions and operations teams, and collect client data, consents, and insurance information into the EMR system. Verify benefits and eligibility through insurance portals, track referrals, and escalate urgent or high-risk situations to supervisors. Maintain confidentiality in accordance with HIPAA and 42 CFR Part 2, and collaborate with case managers to ensure seamless transitions. Participate in regular team meetings and training sessions to support quality improvement. This role supports PHRI's mission to restore hope and healing to underserved populations undergoing behavioral health challenges, with a focus on implementing an integrated care model across two states.
Required Qualifications
- High school diploma or equivalent
- Legally authorized to work in the U.S.A.
- Minimum 1–2 years of experience in a healthcare, social services, or behavioral health setting
- Familiarity with intake procedures, EMR systems, and insurance verification processes
- Excellent verbal and written communication skills
- Strong organizational skills with the ability to multitask and prioritize effectively
- Demonstrated ability to work independently and as part of a team in a fast-paced environment
- Sensitivity to populations experiencing trauma, substance use, and mental health challenges
- Proficient computer skills in Microsoft Outlook and other standard software applications
