Job Summary
The Admissions Assistant supports all facets of the student enrolment process by delivering exceptional service to prospective and current families, coordinating admissions-related activities (meetings, tours, interviews, entrance assessments), maintaining accurate enrolment records and data, generating enrolment reports, and supporting enrolment operations. The role involves guiding applicants through the enrolment process, ensuring timely submission of required documents (transcripts, letters of recommendation, health records), maintaining communications with families, coordinating travel for recruitment trips, planning Enrollment Team events, and representing Admissions at school functions and education fairs. Strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced educational environment are essential. Proficiency in Microsoft Office and Google Workspace, excellent interpersonal and collaboration abilities, and a customer-focused mindset are required; a bachelor’s degree and relevant office/recruitment/admissions experience are also required. This position is based at St. Margaret’s School in Victoria, BC, Canada, with an in-person work arrangement and a part-time schedule (18.75 hours/week).
Required Qualifications
- Bachelor’s degree in Business Administration or a related field
- Minimum of three years of office-related experience in recruitment or admissions, preferably within an independent school setting
- Experience using a student information system
- Demonstrated experience drafting professional correspondence
- Proficiency in a second language is required, with preference given to Spanish, Mandarin, or Japanese
- Preference will be given to candidates with demonstrated experience in admissions file adjudication, including reviewing applications, assessing documentation, and ensuring compliance with organizational policies and admission requirements
- Experience planning and coordinating events
- Experience generating reports and using data to support planning and decision-making
