Job Summary
Administrative Support role providing secretarial and administrative assistance to the Manager and Mission Services Division leadership team. Responsibilities include answering phones and messages, handling mail, preparing documents, coordinating meetings and travel, reconciling vendor invoices and payment vouchers, managing expense and mileage reports, taking and typing minutes for meetings (including Board and Committee meetings), maintaining contract filings and assignment records, developing attendance/service logs, preparing department documents (e.g., Personnel Action Forms), organizing office procedures, maintaining inventory of equipment and supplies, creating training certificates, supporting special projects, and performing other duties as assigned. Requires discretion and confidentiality; proficient in written English; computer literacy with Microsoft Office (Word, Excel); strong organizational, communication, and interpersonal skills; bilingual ability is a plus.
Required Qualifications
- High School diploma or college degree (A.A. + degree helpful)
- Secretarial schooling or equivalency preferred
- Word processing, document control, preparation of spreadsheets, graphs, and charts, desktop publishing, and presentation materials
- Experience may be considered instead of education at the discretion of the Vice President of Mission Services
- Excellent interpersonal and written communication skills
- Bilingual (English/Spanish, English/Creole) highly desirable
