Job Summary
Coordinate Defense Travel System (DTS) activities for senior leadership, including creating orders, vouchers, and processing passports while managing the ET Document Staffing System. Maintain leadership calendars, prepare agendas and read-aheads, and facilitate staff meetings by setting up conference spaces and drafting minutes. Manage office operations by answering calls, greeting visitors, and overseeing supply inventory and purchase requisitions. Draft memorandums, briefings, and reports while ensuring compliance with DoD templates and security protocols for classified meetings.
Required Qualifications
- Minimum 5 years of experience working directly with senior-level staff
- Minimum 5 years of experience using the Microsoft Office suite
- Minimum 5 years of experience working in the Defense Travel System (DTS)
- Secret Clearance
- Maintain a valid state driver's license
- Maintain comprehensive knowledge of travel regulations and DTS
- Apply strong editorial skills, including proper grammar, spelling, style, and structure
- Use the Microsoft Office suite effectively, including Outlook, PowerPoint, Excel, and Word
- Implement standard administrative practices that ensure quality and efficiency in alignment with organizational and DoD business priorities
- Follow DoD, Army, and organizational templates and best practices
- Maintain an internal personnel database for the office
- Manage office supply activities, including tracking inventory, consolidating and coordinating orders, working with financial personnel and Government card holders, and keeping supply areas organized
- Review and maintain electronic and paper files
- Support assignment, tracking, and completion of office taskers in the SASI system, coordinating with team members and ensuring timely submission and upload of responses
- Monitor staffing packages in DSS, submit draft and final documentation for JPEO-CBRND approval, and provide input as required
- Maintain hard-copy records according to the JPM Office system and manage electronic records via the organizational SharePoint site; serve as the SharePoint Knowledge Manager
- Ensure appropriate security measures are in place for classified meetings
- Follow all security processes, conduct daily physical security checks on a rotating basis, and coordinate Foreign National visit documentation with the security office
- Serve as the primary coordinator for purchase requisitions, completing required documentation, performing GFPBS actions, securing signatures, and maintaining organized Government Purchase Card (GPC) files
- Actively update recall lists
- Conduct accountability surveys during fire drills and emergency evacuation events
- Successfully complete all position-related training
