Job Summary

Administrative Specialist for the Mental Health Ministry and Catholic School Pilot Program providing coordination, liaison work, and comprehensive administrative support. Responsibilities include serving as a key liaison among Catholic school administrators, diocesan mental health counselors, Catholic Charities, and diocesan departments; coordinating programs and events; maintaining records and systems; assisting with reporting and compliance; supporting implementation and evaluation of school-based mental health programs; planning meetings and trainings; managing calendars, correspondence, and communications; maintaining filing systems with confidentiality; assisting with basic financial tracking such as invoices and reimbursements; and collaborating with diverse stakeholders to promote student well-being and program success. Requires strong organizational, written and verbal communication skills, ability to work with diverse stakeholders, discretion with confidential information, and willingness to travel within the Diocese as needed. High school diploma or equivalent and 3–5 years of administrative experience; associate degree preferred; bilingual (English/Spanish) preferred.

Required Qualifications

  • High school diploma or equivalent
  • Three to five years of progressively responsible administrative experience
  • Experience in a nonprofit, parish, diocesan, school, or mental health setting preferred
  • Strong organizational, administrative, and time-management skills
  • Excellent written, verbal, and interpersonal communication skills
  • Demonstrated ability to work collaboratively with diverse stakeholders
  • Sound judgment and discretion in handling confidential information
  • Advanced administrative proficiency and strong attention to detail
  • Working knowledge of general office procedures, recordkeeping, and database management
  • Proficiency in Microsoft Office Suite and office technology
  • Flexibility, adaptability, and problem-solving skills
  • Ability to travel within the Diocese as needed and work occasional evenings or weekends
  • Bilingual (English/Spanish) preferred
