Administrative Receptionist

Job Summary
Manage administrative support for the marketing and communications team by creating operational documentation, designing flyers, and handling Excel spreadsheets. Coordinate the central switchboard, greet visitors, direct them to destinations, and maintain the visitor log while ensuring proper telephone etiquette. Distribute mail, meter outgoing correspondence, and check emails to appropriate team members. Provide logistical support for special events, donation drives, and community engagement activities. Greet persons entering the establishment, answer inquiries, and transcribe messages from answering machines. Maintain lobby order, stock collateral materials, and escort guests to meeting areas as needed.
Required Qualifications
- High school diploma or equivalent
- Ability to use proper telephone etiquette while handing multiple incoming telephone lines
- An excellent command of the English language including correspondence style, grammar, spelling and proofreading
- Excellent customer service and interpersonal skills and the ability to interact with the public in a courteous and professional manner
- Excellent communication and interpersonal skills, the ability to use tact and diplomacy while dealing with the public, and the ability to effectively communicate with diverse population
- Proficient in Microsoft Office Suite, including Word, Excel and PowerPoint
- Fulltime in-office attendance
- Occasional weekend, early morning and evening work
