Job Summary
Maintain client communication via in-person, email, and phone while fostering strong working relationships. Manage and oversee office staff and resources through task coordination, scheduling, and prioritization. Conduct project quality control functions and develop, analyze, and implement administrative department systems and controls. Train, hire, coach, and evaluate administrative support staff members. Create, review, and report project data to solve problems or strengthen performance. Develop and establish project policies and procedures to maximize efficiency. Ensure office systems, controls, policies, procedures, and workspaces comply with current regulations. Review, administer, and submit hiring and termination paperwork. Perform period audits of employee files and documents for quarterly reporting. Coordinate and submit payroll documentation with accounting and payroll departments.
Required Qualifications
- Strong planning, critical thinking, problem-solving, and task/time management skills
- Excellent interpersonal, leadership, coaching, and verbal/written communication skills
- Strong organizational skills and attention to detail
- Ability to analyze information and develop effective solutions
- Microsoft Office proficiency - Outlook/Excel/Word/Adobe
- Proficiency in office technology and equipment, such as computers, copiers, scanners, fax machines, and phone systems
- Experience with client communications
- Experience/knowledge of HR policies, practices, and procedures
- Ability to quickly learn HR-related software and programs
- Self-motivated & able to work in a fast-paced environment
- Proactive, responsive & willing to help where needed
Desired Qualifications
- Bachelor's degree in business administration or a related field preferred
- 3+ years office administrative experience
