Administrative Practice Manager

Job Summary

Collaborate with CBHC and BHUC leadership to standardize operational best practices, develop workflows, and implement change initiatives across all sites. Monitor key operational metrics including access, scheduling, documentation timeliness, and revenue performance to drive data-informed process improvements. Oversee daily access and scheduling operations, assign new individuals served to clinicians, and lead quality assurance audits on front-end administrative and revenue cycle processes. Ensure organizational initiatives are implemented in accordance with regulatory and contractual requirements, including DPH, CARF, and BSAS readiness activities. Provide regularly scheduled individual supervision meetings, establish professional development goals, and monitor team compliance on job performance and documentation quality. Maintain HIPAA and 42 CFR Part 2 compliance while serving as a liaison for staffing needs and ICI investigations. This role supports the design of standardized processes to ensure timely, coordinated client access and care delivery across Western Massachusetts locations.

Required Qualifications

  • Master's degree in business, Human Services, Social Work
  • Bachelor's degree and 7 years' experience in Mental Health & Substance Use Disorders
  • Minimum three years' supervisory and/or management experience
  • Broad knowledge of mental illness and treatment techniques, including adults with severe and persistent mental health needs or children with serious emotional disturbance
  • Familiarity with collecting and organizing data from various sources, internet, word processing and email systems
  • Excellent verbal and written communication skills
  • Willingness and ability to treat challenging and diverse populations
  • Cultural competence in dealing with individuals with a variety of different cultural backgrounds
  • Working knowledge of community resources, and how to help individuals access them
  • Ability to effectively oversee & prioritize workloads, maintain follow‐through, and consistently meet deadlines with minimal oversight
