Job Summary
Administrative Coordinator supports the Faculty of Mathematics’ undergraduate and research programs by providing comprehensive administrative and secretarial support, coordinating course scheduling and exam activities, managing hiring processes via Workday, assisting with travel and reimbursements, organizing department seminars and conferences, maintaining department web pages and teaching materials, and coordinating general office operations including space management and equipment. The role requires collaborative interaction with faculty, staff, and students, strong organizational skills, and adherence to university policies.
Required Qualifications
- High School Diploma with some post-secondary education and/or training in business communication
- Several years of secretarial/administrative/customer service experience in an academic environment
- Ability to exercise good judgment and discretion and work independently in a fast-paced, deadline-driven environment
- Proven aptitude for attention to detail and the management of multiple demands
- Knowledge of university policies and procedures, particularly undergraduate and tri-agency requirements
- Intermediate computer skills and knowledge of software applications used in an office setting (word processing, spreadsheets, web content management, Document Management Systems). Familiarity with Infosilem, Centre-Suite, Concur, Workday, LaTeX or willingness to learn
