Administrative Coordinator

Job Summary
In-person Administrative Coordinator responsible for office administration, HR enrollment, financial bookkeeping, and asset/inventory tracking for Malawi-based operations; responsibilities include procurement, visitor visa arrangements, scheduling with government officials, venue booking, health insurance and pension admin, daily office expenses, and smartphone book/inventory; requires native English proficiency, and strong skills in Google Docs/Sheets/Slides, Microsoft Office, and WhatsApp; willingness to rapidly integrate AI tools (ChatGPT, Claude) into daily workflows; strong logical thinking, basic number sense, and high emotional intelligence; energetic, client/vendor-facing, and mission-driven to work with humanitarian organizations; +3 years of prior work experience preferred.
Required Qualifications
- Native English proficiency (≥C2) in speaking, reading, and typing (≥50 words per minute)
- High familiarity with basic desktop publishing and social media software, including Google Docs/Slides/Sheets and Microsoft Word/Excel/Powerpoint, WhatsApp
- Willingness to rapidly integrate ChatGPT, Claude, and other AI into daily workflows
- Strong logical thinking ability and basic number sense
- High emotional intelligence and empathy
- Energetic attitude and spirit
- Willingness to talk with clients and vendors in a variety of different situations and moods
- Desire to work with humanitarian organizations on missions of universal importance
- +3 years prior work experience preferred
