Job Summary
Collaborate with the EVP and Chief Counsel to prioritize time, manage a complex calendar including meetings and travel, and direct inquiries to appropriate team members. Make extensive domestic and international travel arrangements while handling unexpected changes, and prepare expense reports with accurate, timely record-keeping. Assist in developing annual budget forecasts, track expenditures, and support special projects such as creating presentations, infographics, and new practice tools. Coordinate intradepartmental meetings, sessions, and events by managing offsite planning, conference facilities, AV setup, and catering logistics. Handle general department and facilities operations, including office and kitchen supplies, while maintaining relationships with executives, staff, outside counsel, and vendors. This hybrid role requires four days per week at the Universal City, CA office and supports global IP teams across California, Washington D.C., London, Singapore, and China.
Required Qualifications
- 2+ years of experience in an administrative support role
- Proficiency in Microsoft Word, Outlook, Microsoft Teams, PowerPoint, and Excel
- Experience with legal and billing database tools
- This position currently has a hybrid schedule, which requires contributing from the Universal City, CA office a minimum of four days per week
- As part of our selection process, external candidates may be required to attend an in-person interview with an NBCUniversal employee at one of our locations prior to a hiring decision
