Job Summary
Manage business administrative and secretarial needs for the organization by assisting management with billing, collecting accounts receivable, and maintaining billing levels. Prepare geotechnical and construction materials testing proposals, reports, and correspondence using current company formats, while ensuring accuracy when entering projects into the intranet. Screen and direct incoming telephone calls, route vendor invoices, and assist in updating subcontractor lists. Maintain accurate files, logs, and project documentation, including master job sheets and client lists, while distributing designated reports as determined by project managers. Perform routine clerical duties such as copying, scanning, and binding reports in accordance with company guidelines.
Required Qualifications
- High School Diploma or GED
- Minimum of one (1) year of business and secretarial experience in a professional, fast-paced environment
- Post high school studies related to business and/or administrative support
- Good oral and written communications skills
- Ability to work in teams at different levels within the organization
- Proficient in Microsoft Office (Word, Excel, Access, and Outlook)
- Minimum typing speed of 60wpm
- Strong math skills
- Familiarity with accounting principles/systems
- Self-motivated
- Good attendance record
