Job Summary
Conduct expatriate lifecycle logistics including document collection, tracking, and vendor scheduling for Global Mobility. Manage immigration paperwork, update expiration deadlines, and compile basic data reports under the Global Mobility Manager. Coordinate the Treasurer's calendar, arrange meeting rooms, and process departmental invoices and receipts. Handle mail distribution, monitor office supply inventory, and send pre-approved transactional notifications to foreign nationals. Maintain strict confidentiality regarding sensitive financial data and corporate records while adhering to Data Privacy regulations. Requires full English fluency and Japanese proficiency; no supervisory responsibilities. Base pay ranges from $27.82 to $41.73/hour.
Required Qualifications
- High school diploma or equivalent
- Associate's or Bachelor's degree in Business Administration, International Relations, or a related field
- 1–3 years of corporate administrative assistant, executive coordination, or foundational HR/Immigration support experience
- Full professional fluency in English
- Proficient with Microsoft Office Suite (advanced Outlook, structured Excel data tracking, Word)
- Proficient with Google Workspace
- Ability to conduct a normal amount of work on a computer
- Applicants must be legally authorized to work for any employer in the United States
- Verification of employment eligibility will be required at the time of hire
