Job Summary

The Administrative Coordinator (Contractor) provides administrative and operational support to the Sales and Marketing teams for QAP execution and marketing events, including event coordination, internal system management, vendor and HCP engagement, documentation and compliance follow-up, as well as general administrative support to ensure smooth business operations. Main responsibilities include coordinating sales/marketing administrative needs for QAP execution, creating and closing events in internal systems, gathering event details from Sales Representatives and Marketers, ensuring data quality and approvals, creating HCP vendor profiles, submitting speakers’ slides for approval, collecting signed contracts and invoices, managing event operations (filing, databases, budgets, expense tracking, and HCP honoraria), developing SOPs for QAP processes, managing relationships with external vendors, arranging HCP travel and accommodation, providing training/orientation for new team members, and providing ad hoc administrative support as required.

Required Qualifications

  • Minimum 5 years related experience in administrative support role
  • University degree
  • Experience using MS Office tools (medium degree of Excel skills)
  • Fluency in Mandarin and English
  • Detail-oriented, multitasking, able to work in fast-paced environment
  • Can work independently and meet required timeline
  • Good communication skills
