Job Summary
Support the Corporate Fleet and Transportation Manager and assist the Fleet, Equipment, and Safety Departments through accurate recordkeeping, reporting, and administrative coordination. Maintain electronic and physical records, including fleet documentation and audit files, while coordinating communication between internal teams, vendors, and external partners. Generate and analyze departmental data using Microsoft Excel, Power BI, and other reporting tools to prepare presentations and identify process improvements. Manage daily administrative functions such as scanning, indexing, filing, and document distribution to ensure regulatory compliance and operational efficiency.
Required Qualifications
- High school diploma or GED
- 5+ years of professional administrative support experience
- Experience maintaining records, managing databases, and coordinating departmental reporting
- Proficiency with Microsoft Office, including Excel, PowerPoint, Word, and Outlook
- Strong data entry, records management, organizational, and time management skills
- Strong written and verbal communication skills with the ability to work effectively across departments and with outside partners
- Strong attention to detail, professionalism, confidentiality, and a customer service mindset
- Ability to manage multiple priorities, solve problems, and work independently while contributing to a collaborative team
Desired Qualifications
- Associate degree or post-secondary education
- Experience supporting fleet, transportation, equipment, safety, compliance, or audit functions
- Experience supporting multiple locations or remote workforces
- Experience with Power BI, dashboard development, or fleet and compliance software
