Administrative Coordinator

Job Summary

Greet visitors, answer up to 15 incoming calls per hour, and maintain a welcoming environment in the lobby, cafe, and conference rooms. Plan meetings and events by creating timelines, agendas, and catering arrangements while managing all incoming and outgoing mail and deliveries. Monitor office supplies for restocking, order company swag, and support travel itineraries using the Allied travel booking system. Assist with document management, data compilation, report preparation, and filing support. Coordinate special events such as quarterly meetings and workshops, and help with HR tasks including onboarding and employee engagement initiatives. Manage confidential information with discretion and use Allied's CRM and office applications to handle daily communications.

Required Qualifications

  • At least 2 years of experience as a receptionist or office administrative assistant at a construction company
  • Basic understanding of construction drawings/blueprints and ability to interpret key elements
  • Comfortable with construction terminology, trade language and jobsite communication
  • First-rate organizational skills and detail-oriented
  • Friendly, professional positive attitude
  • Excellent interpersonal, communication and client service skills within and outside the organization
  • Working knowledge of MS Office Applications, Google Suite Applications, and additional related software knowledge
  • Strong spelling and grammar acumen
  • Strong ability to manage a variety of tasks simultaneously
  • Critical thinking, evaluation and analytical skills
  • Talent and desire to work with high-pressure situations in fast paced environments
  • Ability to work individually and in team environments
  • Ability to work on-site at the Fort Lauderdale office from Monday through Friday 9:00am to 6:00pm
  • Bilingual in English/Spanish is required - working proficiency levels
  • Experience coordinating events and travel planning

Desired Qualifications

  • Bachelor's or associate degree preferred
  • Public Notary desired
