Job Summary
Oversee day-to-day office activities including handling in-person and phone interactions, managing calendars and travel, and responding to correspondence. Maintain the reception area and conference rooms, providing secretarial support while creating a welcoming atmosphere for guests. Perform research and analysis, draft policies and procedures, and manage confidential documents and electronic records. Schedule meetings and video conferences, transcribe minutes, and provide notary services. Assist with organizing the Annual Feast Day, manage office supplies, and drive a Tribal vehicle for Business needs or Council Meetings.
Required Qualifications
- High School Diploma, GED certification or equivalent
- Three (3) years general office experience
- Two (2) years of experience in an executive administrative level
- Valid, unrestricted New Mexico Driver's License
- Ability to successfully pass a background investigation
- Ability to pass a pre-employment and random drug screening
- Ability to type at least 40 wpm accurately
- Efficient oral and written communication skills and proper use of grammar
- Organizational and interpersonal skills
- Ability to multi-task and prioritize work assignments
- Ability to record and transcribe minutes at meetings and operate a multi-line telephone system
- Ability to work independently and efficiently
- Strong attention to detail
- Ability to work under pressure managing frequent and competing deadlines
- Ability to process a large volume of routine to complex correspondence
- Knowledge of general office methods, procedures, and equipment to include office filing systems
- Knowledge of Microsoft Word, Excel, Outlook, PowerPoint and various database software packages
- Ability to work in an office setting
- Physical ability to work additional hours or days of work when necessary
- Mobility to operate a Tribal vehicle to attend meetings, conferences, etc.
