Administrative Co-ordinator

Job Summary
Provide administrative support to the Global Trade, Contracts and Supply Chain teams, including preparation, tracking, and submission of import/export documentation to ensure compliance with global trade regulations; coordinate internal meetings and prepare materials for Global Trade reviews; maintain trade compliance records and assist with export license applications, agreements, and trade-related requests; monitor training and assist with audits and compliance reviews; maintain CRM/ERP/trade management data; support contract review cycles, RFQ processes, supplier documentation, and travel/visitor management; proficiency with CRM/ERP systems, trade management tools, ITAR/EAR compliance, NDA handling, and related documentation; strong organizational, communication, and cross-functional collaboration skills.
Required Qualifications
- High school diploma or post-secondary education in business, administration, international trade, or a related field with a minimum of 2 years of relevant experience
- Proven experience in an administrative or coordination role supporting cross-functional teams
- Experience working with business systems such as CRM, ERP, or trade management tools, and proficiency with Microsoft Office applications
- High attention to detail with the ability to manage data accuracy, records, and documentation
- Clear written and verbal communication skills, including professional interaction with internal and external stakeholders
Additional Requirements
- Candidates must be Canadian citizens or permanent residents
- Must have resided in Canada for a minimum of five consecutive years to meet security clearances (Controlled Goods Program and Contract Security Program)
