Job Summary
Administrative & Operations Assistant to support the COO and leadership team in a fast-paced, cross-border environment. Responsibilities include managing the COO’s calendar, travel arrangements, drafting and editing correspondence and reports, preparing weekly/monthly leadership reports, organizing digital files, coordinating reception and office tasks, coordinating travel and events (trade shows, annual meetings, and company-wide events), and owning various administrative and operations duties to ensure cross-border operations run smoothly. The role requires discretion with confidential information, cross-department coordination across operations, finance, HR, IT, and sales, and the development and maintenance of SOPs and company memos.
Required Qualifications
- Proven experience as an administrative assistant, executive assistant, operations coordinator, or in a similar administrative/operations role.
- Experience managing travel arrangements, coordinating trade shows, and planning annual business meetings.
- Advanced skills in Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).
- Experience with business systems such as NetSuite and DocuSign is preferred; comfort learning and working across multiple business applications is essential.
- Excellent verbal and written communication skills with strong attention to detail.
- Strong internal and external customer service skills and professional demeanor.
- Ability to work independently and as part of a team.
- Meticulous in proofreading, organizing, and managing multiple tasks simultaneously with accuracy.
