Job Summary
The Administrative Associate provides administrative and operational support for the Department of Mechanical & Materials Engineering at WPI. Responsibilities include processing expense reports, departmental transfers, purchase orders, and vendor payments; managing vendor invoices and departmental purchasing card (PCard) usage; coordinating with internal departments to secure funding; processing travel and reimbursements for student conferences; coordinating course-related materials and billing with the bookstore; overseeing receipt and distribution of departmental packages; tracking and reconciling budgets for MQPs, grants, and departmental accounts; supporting MQP planning and events; assisting faculty, staff, and students with undergrad information and program relations; front desk coverage and inquiries; assisting with facility requests, room reservations, and work orders; utilizing Workday and other institutional systems; guiding users on administrative processes; supporting FWS hiring/training; and fostering a collaborative, customer-service oriented team environment.
Required Qualifications
- Associate’s degree or equivalent combination of education and experience
- Experience in administrative support, preferably in a higher education
- Demonstrated experience with financial processes and systems (e.g., expense reporting, purchasing)
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Effective communication and interpersonal skills as a team member
