Job Summary
Lead all administrative aspects of hiring on grants, including receiving applications, scheduling interviews, onboarding new employees, and monitoring compliance training. Manage travel logistics for employees and non-employees, process reimbursements, and attend weekly travel management meetings. Maintain calendars for multiple directors, draft correspondence, and lead event planning for grant projects, covering logistics such as meeting spaces, accommodations, and registration. Oversee the purchasing lifecycle, create purchase orders, review vendor invoices, and ensure expenditures align with district approvals. Provide critical daily support to the IPSI Executive Director, Directors, Finance Officer, and 20+ GEAR UP Coordinators. This fixed-term role supports the Administrative employment lifecycle for All In 2024 & 2025 directors, staff, and district employees through daily GEAR UP operations at the University of Texas at Austin.
Required Qualifications
- Diploma (High School) or GED
- at least 5 years of clerical experience
- Bachelor's degree
- at least 1 year of experience at the Administrative Assistant level
- Relevant education and experience
Desired Qualifications
- Experience currently or previously working at The University of Texas at Austin
- Prior experience with GEAR UP and/or federal grants
