Administrative Assistant (Workers Comp/ PIP)

Job Summary

Assist patients, claim adjusters, and attorneys with workers comp or personal injury claims, including scheduling appointments and verifying claim status. Coordinate with doctors and attorneys to set up IMEs and narrative reports, ensuring accurate documentation of accidents in medical notes. Maintain HIPAA-compliant patient records, manage open claims, and handle incoming calls to transfer callers or advise on direct numbers. Attend meetings, collect data, and produce weekly, monthly, or yearly reports and presentation materials for internal and external stakeholders. Work directly with the Worker Compensation-Personal Injury team to interpret priorities and ensure efficient office operations.

Required Qualifications

  • High School diploma or equivalent
  • Minimum of 1+ years of experience working in work comp/personal injury field
  • Commitment and demonstration of excellent internal and external customer service
  • Attention to detail, ability to lead and follow processes and procedures from beginning to end
  • Ability to demonstrate interpersonal and relationship-building
  • Ability to motivate and work collaboratively with staff
  • Strong analytical and organizational skills; ability to balance priorities, make effective decisions, and contribute as a team player within the organization
  • Ability to utilize data to inform the decision-making process
  • Demonstrate knowledge of and maintain the standards and requirements of the Health Insurance Portability and Accountability Act (HIPAA)
  • Ensure the protection and security of personal, confidential and identifiable information in a professional and responsible manner and carry out all measures to prevent from unauthorized disclosures
  • Excellent written and verbal communication skills
  • Able to communicate information in an organized and clear manner
  • Able to maintain and demonstrate strict confidentiality of all information
  • Commitment to reflect quality assurance and risk management in daily tasks
  • Has computer skills and ability to learn/operate software programs
  • Maintains professional appearance and demonstrates professional attitude at all times
  • Ability to work flexible schedules and maintain punctual attendance
  • Able to work under pressure, remain calm, prioritize, and meet deadlines
  • Ability to relate to diverse communities
  • Ability to work as part of an interdependent team
  • Ability to remain open and non-judgmental towards colleagues and customers
  • Highly proficient in Microsoft Office
  • Knowledge working with Electronic Medical Records
