Administrative Assistant to the AVP, Office of Capital Projects

Job Summary
Provide reception support, manage the AVP's complex calendar, and coordinate travel arrangements with expense reporting. Organize diverse events ranging from staff meetings to campus-wide training sessions, handling logistics, catering, and minute distribution. Maintain administrative and project filing systems for AVP and project files while drafting agendas and following up on tasks. Assist in developing processes and procedures, serve as backup to the Executive Assistant and Manager, and represent the Office on university committees. Adapt to changing priorities and collaborate with Facilities and campus partners. Requires an associate degree, five years of experience, and proficiency in Microsoft Office, Outlook, Adobe Creative Suite, and Concur. Standard weekly hours are 36.25 with no overtime eligible.
Required Qualifications
- Associate degree
- at least 5 years' experience in a related role
- Able to prioritize and coordinate multiple projects simultaneously in a demanding environment
- Demonstrated technical skills in Microsoft Office Suite, Outlook, and Adobe Creative Suite, including Acrobat and Photoshop
- Highly organized, dependable, and exercise excellent judgement and discretion in dealing with sensitive information
- Demonstrated communication skills both written and oral, able to connect with all levels of staff, faculty, students, and community members
- Able to adapt to changing priorities and needs, while remaining flexible
- Able to collaborate with colleagues across Facilities and with campus partners and stakeholders
- Valid Driver's License Required
Desired Qualifications
- Previous experience working in higher education environment or the construction industry
- Interest or familiarity with computer software technology, computer aided drafting, database software and terminology
- Proficient or advanced in Concur
