Job Summary
Manage complex calendars across multiple time zones, coordinate meetings, and prioritize competing scheduling demands for senior leaders. Provide administrative and operational support including documentation, records management, invoices, time entry, and special projects. Serve as a key point of contact for internal and external communications, organizing onsite and external meetings with catering and guest registration. Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visas. Prepare expense reports and process invoices using approved financial systems while handling confidential business information with discretion. This role supports executive teams in a fast-paced global environment within financial services.
Required Qualifications
- Experience supporting executives, senior leaders, or professional teams in a fast-paced corporate environment
- Excellent organizational skills with strong attention to detail and ability to manage multiple priorities
- Strong written and verbal communication skills with a professional and collaborative approach
- Ability to anticipate needs, solve problems, and work independently with minimal supervision
- High level of professionalism, integrity, and discretion when handling sensitive information
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Zoom
