Job Summary
Administrative Assistant responsible for customer service, scheduling, Work-in-Progress (WIP) board management, FNOL documentation, estimates within 3 days of job completion, preparing job paperwork for Crew/Estimators, overseeing job file documentation and subcontractor activities, filing and photo transfer, compliance with NAPA and Third-Party Programs, managing franchise-specific documentation and fixed assets, billing and accounts receivable, daily bookkeeping, financial reporting, and maintaining an organized office and calendar. Requires high school diploma or equivalent and proven administrative experience; proficiency with basic accounting and office software; strong communication, organizational, and multitasking skills.
Required Qualifications
- High school diploma or equivalent required
- Proven experience in administrative roles, preferably in a fast-paced office environment
- Familiarity with basic accounting principles, bookkeeping, and financial reporting
- Proficiency in computer applications and ability to adapt to new software applications
- Excellent communication, organizational, and multitasking skills
