Job Summary
Support the Board of Commissioners leadership by managing the supervisor's calendar, scheduling meetings, and preparing backup materials. Greet the public at the reception counter, answer telephones, and transfer calls to appropriate departments. Handle routine and complex clerical duties including taking messages, maintaining files, typing reports, and creating labels, memos, and purchase orders. Prepare basic spreadsheets, respond to inquiries, and distribute mail while assisting with departmental duties and payroll procedures. Maintain various logs, make copies, and fax documents. This role may serve as a secretary to a county board/authority.
Required Qualifications
- High school diploma or equivalent
- Two (2) years of experience in a general office environment
- Knowledge of typical departmental policies and procedures
- Knowledge of basic office skills, practices, and procedures including filing and general clerical functions
- Knowledge of business and basic accounting principles including the ability to prepare purchase orders and invoices
- Knowledge of Georgia record maintenance and retention laws
- Skill in the operation of current, standard office equipment
- Skill in organizing and maintaining filing systems
- Ability to establish and maintain effective working relationships with department personnel, county, and elected officials, coworkers, and the general public
- Ability to schedule, organize, and execute assigned tasks and understand and follow oral and written instructions
- Ability to communicate, meet, and deal with the public and employees in a pleasant, courteous manner and ability to handle multiple interruptions and adjustments to priorities throughout the day
- Ability to accurately record and transfer data from one source to another, and maintain strict confidentiality
- Ability to make independent decisions
- Ability to communicate effectively both verbally and in writing
- Ability to establish and maintain effective working relationships with County officials, co-workers, public safety officials, judges, and the general public
- Ability to use tact and diplomacy in dealing with the general public in person or during the performance of daily work activities
