Job Summary
Administrative Assistant/Receptionist for Trinity Villas in Ocala, FL. Supports the Property Manager and staff with clerical duties, including telephone greeting and client interaction, data entry, and timely monthly reports. Responsibilities include managing correspondence, scheduling appointments, coordinating events/projects, directing daily mail, maintaining resident records with HIPAA compliance, maintaining calendars for the Program Manager, preparing correspondence for approval, generating monthly reports, and upholding organized filing systems. Requires proficiency in Microsoft Office (Word, Excel, PowerPoint), strong communication skills, confidentiality, and bilingual English/Spanish capabilities. Must be able to handle office equipment and adapt to varied tasks; demonstrated professionalism and alignment with agency policies and Catholic Church teachings. Ability to work in an office setting with potential physical tasks and extended hours as needed.
Required Qualifications
- High School graduate
- 3 years of secretarial/office experience
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Bilingual English and Spanish
- Strong verbal and written communication
- Ability to manage calendars and prepare reports
- Confidentiality and HIPAA compliance
- Ability to lift up to 40 pounds (physical requirements)
- Ability to work in a Catholic Church-related office
- Some college preferred
