Job Summary
Administrative Assistant to support the Quality Management Director and staff by handling scheduling (internal/external), correspondence, calendar coordination, meetings and trainings, front-desk reception, and daily operations of the Quality Management Department. Responsibilities include coordinating training and travel for staff, maintaining calendars and filing systems, preparing and proofreading documents, generating reports and trackers, onboarding new staff, managing databases, and ensuring effective communication with internal staff and external partners. Requires strong Microsoft Office skills (Word, Excel, PowerPoint, Publisher, Outlook), excellent written and verbal communication, 50 wpm typing, confidentiality, and ability to work in a fast-paced, multi-cultural environment. Travel within the specified circuit is required; 40-hour work week; position located in Ft. Myers, FL. Pre-employment requirements include background checks, drug screening, and E-Verify. Education/experience options include an A.A. degree with 2+ years’ admin/secretarial experience or a high school diploma/G.E.D. with 5+ years’ experience; suitable for an entry-level administrative professional. The role emphasizes supporting the Quality Management Director, coordinating office operations, and ensuring accurate documentation and reporting for accreditation and compliance activities.
Required Qualifications
- A.A. Degree plus a minimum of two (2) years’ previous administrative or secretarial office experience; or a High School Diploma / (G.E.D.), plus five (5) years of comparable experience.
- Minimum typing speed of 50 wpm; excellent word processing skills.
- Strong Proficiency in Microsoft Office Suite programs, including Word, Excel, Power Point, Publisher and Outlook.
- Must be able to operate standard modern office machinery; timely and accurate document handling; confidentiality.
- Valid driver’s license required, with proof of insurance; driver’s license check is a requirement.
- Criminal background screening (fingerprinting) and drug screening required.
- All personnel must demonstrate commitment to professional and ethical standards; E-Verify participation.
